MINUTES OF THE PARISH PLAN STEERING GROUP MEETING
HELD ON MONDAY 10th JANUARY 2011 AT 2PM
IN THE BURSLEDON VILLAGE HALL

1. APOLOGIES FOR ABSENCE
Apologies had been received from David Brand, Polly Clark, Trevor Clarke
and Diana Sneezum
2. MINUTES OF MEETING HELD ON 6th DECEMBER 2010
Members voted unanimously to approve the Minutes.
3. MATTERS ARISING FROM THE MINUTES OF MEETING
3.1 Election of Secretary (2) Diane Andrewes had
offered to take on the role of Secretary provided that Jenny Leeves
would continue as Minutes Secretary. This was agreed unanimously.
Jane Rich said that although she had not managed to find someone to take
on the role of secretary she had identified somebody who could possibly
help from home.
3.2 Website ( 4.2) Diane Andrewes reported that Andrew
had posted the minutes on the website together with dates of all
meetings.
3.3 Constitution (4.2) A copy of the constitution was
given to John Prinn. It was noted this had not been signed and is
to be done at the next meeting. Members are asked to bring their
copies with them.
3.4 Grant (4.3 and 7.3) Mary Woodhouse had contacted
Community Action and been sent a large amount of information which she
had not been able to peruse. Mary Woodhouse agreed to go through
the pack and report at the next meeting.
Jane Rich would also investigate whether any grants could be obtained
through First Wessex
3.5 Administrative Support (7.1) Diana Sneezum had written
to Bursledon Parish Council to thank them for providing administrative
support.
3.6 Diccon Bright (7.2) Jenny Leeves had emailed Diccon
Bright who had agreed to come to the next meeting.
3.7 Balance of Account (7.3) Jenny Leeves had requested the balance of
the account from Angie and Jenny but this was not yet available.
Jenny Leeves was asked to contact Jon Whitlock who had agreed to be
treasurer to ascertain whether he wished to continue and if not was
asked if she could monitor the account.
4. CORRESPONDENCE
There was no correspondence.
5. ROAD SHOWS
5.1 Insurance Jenny Whittle had confirmed that the public
liability insurance for the Road Shows had been obtained.
5.2 Publicity The posters had been printed and distributed by Jane
Rich. Donna Brewer asked for 4 copies.
Diane Andrewes agreed to write to Trevor Clarke to thank him and Bethan
Foulkes of GAFs for designing the posters. The children’s drawings will
be displayed at the Road Shows. Mary Woodhouse agreed to collect
these. Mary Woodhouse also agreed to obtain the logo from Jenny
Whittle and email it to Diane Andrewes and Jenny Leeves
The flyers had been ordered to be printed in colour by mistake.
1000 copies had been obtained and were distributed to members for
delivery as follows:
Mary Woodhouse 200 to take to the school and will also be outside Post
Office on Wednesday and deliver to Portsmouth Road
Wendy Lyne – Hungerford Bottom to Fox & Hounds
Margaret Lord – from Fox & Hounds, School Lane, Redcroft, Long Lane &
Oakhill
Donna Brewer – Bridge Close, Bursledon Heights, part of Bridge Road
Jenny Leeves – Jarvis Fields, Church Lane, Hill Place
Jane Rich had incorporated the information in the Pilands Wood News and
would ask Hugh Miller to do Bursledon Green
Diane Andrewes – High Street and Salterns Lane
Polly Clark had written to Echo, Hampshire Chronicle and Radio Solent.
Mary Woodhouse had contacted Chris Huhne and Sally Taylor
Donna Brewer and Jane Rich said they would add it to their pages on
Facebook
5.3 Response from Groups Mary Woodhouse reported that
about 25 groups had expressed interest in being involved and having a
table, several of the groups would share space. Mary Woodhouse
said that she would circulate the list of the groups.
5.4 Timetable This had been completed and showed that most of
the time there would be at least 3 of the committee present at the Road
Shows. The only space was 6-7pm on Thursday at Pilands Wood but
Jane Rich reported that the Road Show would close at 6pm on Thursday,
because of a prior booking.
5.5 Refreshments. Jane Rich has coffee and tea available.
Mary Woodhouse will obtain milk, sugar, biscuits and squash. Jenny
Leeves will bring “Donations” notice and pot. Jane Rich will
organize volunteers to help with refreshments at all venues
5.6 Format Jane Rich will provide tables for the boards and
had made headings for each board and obtained “post-it” labels on which
visitors could write comments. She and Donna would arrange
transport between venues. Margaret Lord offered to bring green clothes
for the groups’ tables.
Trevor Clarke is organizing a Google map of Bursledon. He had
suggested this should be the size of about 4 x 3 A4 Sheets. On
discussion this was felt it might be insufficient to show enough detail.
Jenny Leeves will contact Trevor to ask if it could be larger.
Mary Woodhouse agreed to bring pins so that visitors could denote their
own homes on the map.
Guests The Mayor is unable to attend but would like to come to
the launch of the Parish Plan. Chris Huhne might attend on
Saturday.
First Aider Donna Brewer and her assistant are both qualified First
Aiders and one or other of them will be available at each venue.
6. ANY OTHER BUSINESS
6.1 Agenda for next meeting.
It was agreed that the main business of the next meeting would be to
review and analyse the information gained from the public at the
roadshows and to discuss the way forward and it would make sense
to suggest to Diccon Bright that he attend the March meeting to
advise on what was required in the way of an achievable working
document.
Jane Rich agreed to collate and produce the information gained from
visitors to the Roadshows
7. DATE OF NEXT MEETING
The next meeting will be at 2pm on Monday 7th February 2011 in the Peter
Page Room in the Village Hall
Further meetings will be held at 2 pm on Mondays 7th March and 4th April
Mary Woodhouse will confirm the booking and arrange access for each
meeting
There being no further business, the meeting closed at 3.50 pm
